How to Train a Custom GPT to Represent Your Business Voice

How to Train a Custom GPT to Represent Your Business Voice

AI is amazing—but sometimes, it sounds like, well… a robot. The last thing you want is your clients reading emails, social posts, or website copy that feels stiff and off-brand.

That’s where Custom GPTs come in. By training an AI on your style, tone, and messaging, you can create a tool that:

  • Writes in your unique brand voice.

  • Supports your team with consistent messaging.

  • Saves you hours on content creation.

Think of it as cloning your communication style—without cloning you.

Step 1 – Define Your Business Voice

Before you train AI, you need clarity on your own style. Ask yourself:

  • Is my brand formal or casual?

  • Do I use humor, emojis, or storytelling?

  • What words or phrases do I always (or never) use?

Step 2 – Collect Training Data

AI learns best with examples. Start by gathering:

  • Blog posts and newsletters.

  • Social captions.

  • Sales pages and FAQs.

  • Customer support replies.

The goal: give AI a library of “this is how we talk.”

Step 3 – Set Up a Custom GPT

If you’re using OpenAI’s Custom GPTs (or similar platforms):

  1. Create a new GPT project.

  2. Upload your sample content.

  3. Write clear instructions: “Always use an approachable, supportive tone with a dash of humor. Avoid jargon. Use contractions.”

  4. Test and refine.

Other platforms like Jasper Brand Voice or Copy.ai Profiles offer similar features for tailoring tone.

Step 4 – Test, Tweak, Repeat

No AI nails it on the first try. Run tests by asking it to:

  • Draft an email to a client.

  • Write a social caption.

  • Summarize a blog in your voice.

Compare results to your originals. Adjust instructions as needed.

Step 5 – Put Your Custom GPT to Work

Once your GPT feels aligned, start using it for:

  • Drafting client communication.

  • Brainstorming blog and content ideas.

  • Creating internal SOPs that sound like you.

Remember: AI drafts, but you approve. Keep the human layer for authenticity.
